We are currently seeking an Intake Specialist position to join our practice. This is a Full Time W2 position that requires 40 hours 8am-5pm EST M-F. We are currently looking for candidates with an openness to work in a remote setting. Candidates need access to an updated computer, high-speed internet access, a smartphone, and a quiet space to work. The Intake Specialist must reside in Florida, USA. We are seeking a dedicated Intake Specialist to support our mental health practice. The ideal candidate will be responsible for scheduling clients promptly, ensuring all necessary paperwork is collected, and facilitating a smooth intake process. A background in mental health scheduling is preferred, along with strong customer service skills and experience answering phones. This role requires availability Monday through Friday to assist with scheduling, respond to phone calls and emails, and maintain regular communication with staff and clients regarding intake matters.

Reports to: Executive Director of Operations
Primary Job Description: The Intake Specialist plays a vital role in ensuring a smooth client intake process by managing scheduling and verifying paperwork with accuracy and efficiency. This position is responsible for scheduling clients in a timely manner, maintaining up-to-date client records, and ensuring all required documentation is complete. Additionally, the Intake Specialist will communicate with clients and staff regarding intake matters. Strong attention to detail, organizational skills, and excellent customer service are essential to support both clients and the administrative team.
Hours: 40 hours a week. Hours are 8am-5pm EST M-F (1 hour lunch)
Compensation: $40,000-$44,000 a year depending on experience
Location: Florida, United States (required)
- Ability to schedule clients with appropriate providers and get set up in the EHR system with all initial paperwork sent.
- Keep open, frequent communication with all members of the RPC team and participate in team meetings
- Maintain and model professional boundaries
- Demonstrate and model a peaceful relationship with food and body for clients
- Other tasks as assigned
- Communicate well with Billing, Operations, Marketing and clinical team.
- Ensure all paperwork is completed and filled out prior to initial sessions with the clinical team.
- Record all inquiries and track referral sources.
- Conduct twice monthly clinical note audits
- Collaborate with Clinical Outreach Director (Marketing Department)
- Assist Marketing Department with metric tracking
- Keep track of and update provider licensure information
- Oversee scheduling and office availability for clinicians
- Maintain and Edit the Client Care Coordinator Handbook
- Assist in the creation of documents as needed
- Manage and create waitlists as needed.
- Communicate with the Revenue Cycle Manager for billing questions, insurance changes, new clients starting and ensuring rates are fully communicated with the client.
- Able to accurately verify and document client’s insurance benefits.
- Excellent phone etiquette and customer service.
- Excellent with time management and multi-task as needed.
- Good computer skills, with proficiency in Microsoft Office Suite and G-suite (i.e., Drive, Docs, Calendar, Sheets etc.). Must also have the ability to learn and utilize the company’s internal technical tools and record keeping software.
- Use sound judgment and critical thinking when speaking with potential new clients.
- Inform staff of new clients and a brief description of client’s concerns immediately.
- Collaborate with treatment teams and clients in an appropriate and effective way
- Call referrals and professionals to continue to build relationships.
- Call Dr offices, other RDs, treatment centers and other professionals that staff might need assistance with getting medical records or information about their services.
- Verify and document client insurance benefits via online portals and direct calls.
- Interpret and apply insurance explanations of benefits accurately.
- Complete and send Benefit Summary Verifications and Shared Cost Estimates.
- Provide Good Faith Estimates for self-pay clients and send Superbills as requested.
- Follow up on outstanding client payments, arrange payment plans, and update payment methods.

- Understanding of eating disorders and mental health concerns.
Qualifications:
- BA/BS, preferably in Communications, Social Sciences, Psychology, or a related field preferred but not required
- 1+ year experience with scheduling multiple providers within a mental health or medical setting required
- Experience with billing preferred
- Strong understanding of HIPAA

Ideal candidates will have:

- Experience working in scheduling with a mental health practice
- 1+ year experience with Simple Practice EHR
- Strong interpersonal, organizational and communication skills
- The ability to work collaboratively with the team and build strong rapport
- A willingness to receive and integrate feedback
