We are currently seeking an Intake Specialist position to join our practice. This is a Full Time W2 position that requires 40 hours M-F. We are currently looking for candidates with an openness to work in a remote setting. Candidates need access to an updated computer, high-speed internet access, a smartphone, and a quiet space to work. The Intake Specialist must reside in Florida, USA. We are seeking a dedicated Intake Specialist to support our mental health practice. The ideal candidate will be responsible for scheduling clients promptly, ensuring all necessary paperwork is collected, and facilitating a smooth intake process. A background in mental health scheduling is preferred, along with strong customer service skills and experience answering phones. This role requires availability Monday through Friday to assist with scheduling, respond to phone calls and emails, and maintain regular communication with staff and clients regarding intake matters.

Reports to: Intake Supervisor
Primary Job Description: The Intake Specialist plays a vital role in ensuring a smooth client intake process by managing scheduling and verifying paperwork with accuracy and efficiency. This position is responsible for scheduling clients in a timely manner, maintaining up-to-date client records, and ensuring all required documentation is complete. Additionally, the Intake Specialist will communicate with clients and staff regarding intake matters. Strong attention to detail, organizational skills, and excellent customer service are essential to support both clients and the administrative team.
Hours: 40 hours a week. Hours are M-F
Compensation: $35,000-$41,000 a year depending on experience
Location: Remote in Florida, United States (required)
Initial Phase
- Schedule clients with appropriate providers and manage onboarding in the EHR, ensuring all required documentation is completed prior to initial clinical sessions.
- Coordinate with the Revenue Cycle Manager regarding billing inquiries, insurance updates, new client starts, outstanding balances, payment method updates, and follow-up on client payments.
- Maintain accurate tracking of client inquiries, referral sources, waitlists, and new intakes; promptly notify staff of new clients and presenting concerns.
- Collaborate closely with clinical teams, Billing, Operations, Marketing, and the Clinical Outreach Director to ensure seamless access to care and operational efficiency.
- Support Marketing and outreach initiatives through referral relationship management, metric tracking, and professional outreach to physician offices, treatment centers, and allied professionals to obtain records or service information.
- Maintain open, consistent communication with all members of the RPC team and actively participate in team meetings.
- Model professional boundaries and a peaceful, recovery-aligned relationship with food and body in all client interactions.
- Effectively manage multiple priorities using strong time management skills and proficiency in Slack, Go High Level, Google Workspace, eFax, and internal systems.
- Perform other duties as assigned to support team and organizational needs.
Future Responsibilities (3 -6 months)
- Verify, document, and interpret client insurance benefits through online portals and direct payer outreach.
- Prepare and send Benefit Summary Verifications, Shared Cost Estimates, and Good Faith Estimates.
- Monitor and track failed or declined payment transactions; promptly notify clients of payment issues and coordinate session pauses in accordance with billing and clinical policies.

Qualifications:
- BA/BS, preferably in Communications, Social Sciences, Psychology, or a related field preferred but not required
- 1+ year experience with scheduling multiple providers within a mental health or medical setting preferred
- Experience with billing preferred
- Strong understanding of HIPAA

Ideal candidates will have:

- Ideal candidates should have at least one-year of experience in a clinical or outpatient setting working with scheduling.
- Experience working in scheduling with a mental health practice
- 1+ year experience with Simple Practice EHR
- Strong interpersonal, organizational and communication skills
- The ability to work collaboratively with the team and build strong rapport
- A willingness to receive and integrate feedback
- A commitment to learning about and being open to the administrative practices utilized by Restored Purpose
